Job Description

  •   The Global Employee Relations Coordinator (ERC) will support the HR Director (HRD) to provide a high quality and timely ER service for the global organization.

  • The ERC will be responsible for the management and Administration of RI’s Performance Management system); and for the management of the employment contracts system. In addition will undertake incident investigations from time to time and generally support the HRD with investigation management. Provide to support the HRD in communications with and Coordination of key working groups.


Key Responsibilities and Duties.


Performance Management


  • The ERC is responsible for the effective functioning of the Performance Management system (RI Excel) and related policies/procedures and will, together with the HR Systems Administrator:
  • Maintain a Helpdesk function to respond to user queries.
  • Coach new managers on how to use RI Excel and PM policies; and build regional/field HR capacity in effectively using the system.

  • Liaise with the system provider on system fixes and upgrades.
  • Support the GHRD in collecting feedback from users about the RI Excel system and implement agreed changes.
  • Follow up on ‘past due’ reviews
  • Produce management information from RI Excel as requested by the HRD.
  • Contract Management

  • Effectively administer the issuing of new employment contracts for GSO staff in the US, UK and France and also contract changes and extensions.
  • Act as the principal administrator of the e‐filing system: maintain Personnel files structure, and carry out routine self‐audits of GSO and international staff files to ensure they are ready for external audit at all times.
  • Keep the Personnel file SOP (standard operating procedure) up to date.
  • Monitor contract changes from regions to ensure that personnel changes are in line with applicable policies before circulating them for signature or filing them.
  • Review Recruitment Packages as they come from the regions and ensure they are correct and complete before job offers/contracts are signed.
  • Alert the relevant HR team to upcoming employment contract end dates
  • Edit and send out New Hire Introductions for new interns and new employees.
  • Edit and send out departing staff notices; respond to requests for employment verification, and issue visa letters as required.
  • Incident Reporting and Investigations
  • As directed, conduct investigations into HR and management complaints from time to time.
  • Become familiar with the Incident Reporting system, in order to provide technical/system support to IM team members when needed

Coordination and Communications


  • Coordinate key working groups including global/regional HR meetings, Global Staff Care Team meetings and Intranet (RI Connect) team meetings.
  • Support activities to develop the overall RI-Connect site.
  • Act as HR Content owner for RI‐Connect, owning the HR sub site; seeking and uploading new and refreshed content on a regular basis from HR team members; and monitoring/reporting on usage of the HR sub site.

  • Support the bi-annual Employee Engagement survey; and create ad hoc employee engagement tools such as Flash surveys, analyze the results and prepare reports.


Respond to Staff Queries & Support Key Processes


  • Provide a timely and accurate support service for staff queries related to ER matters.
  • Carry out exit interviews and report on any key management issues or emerging trends.
  • Monitor and report on the use of psychological support services in program countries and escalate any key issues to the HRD.

Policy and Employment Law

  • Review, update and maintain the UK and US Employees’ Handbook to ensure compliance with the relevant internal policies and labor laws.
  • Ensure the ER section of the Global HR Manual is kept up to date
  • General Support to HRD

  • Provide support with travel and expenses; purchase requests/invoices and HR budget monitoring
  • Prepare reports and other documentation, including departmental annual goals and plans; and occasionally Board/SMT documents
  • Renew HR Memberships and subscriptions


Qualifications and Requirements.


  • Experience of working in an international HR function
  • Formal HR qualification or part-qualification
  • Some knowledge of either US or UK employment law
  • Excellent organisational and administrative skills
  • Experience of working with HR IT systems and producing data Analysis reports
  • Excellent interpersonal skills and communication skills
  • Ability to work effectively with a dispersed workforce and build relationships across cultures and time zones
  • Flexible approach and ability to work effectively in a fast-paced environment
  • Able to travel internationally on occasion, if required
